Virtual guard

The Virtual Guard page is for gate staff who let visitors in from a computer. Visitors call from the touchscreen kiosk at the gate, you see and talk to them on video, look up the unit they’re visiting, and open the gate or turn them away. Every decision is recorded in the access log.
You see the Virtual Guard menu when your community has the Virtual Guard module and you have the Virtual Guard permission.
The page at a glance
- Left, top - The video area. When nobody is waiting it shows an Intercom button. When a call comes in it plays a chime and an animation. During a call it shows the live video.
- Left, bottom - The call queue. Each waiting call shows the gate it’s from and how long it has been waiting. When nothing is waiting it reads The call queue is clear.
- Right - Search for the unit or person the visitor is asking for, then see who lives there and who is allowed in.
Answer a call
- When a call appears in the queue, click Answer. The live video starts.
- Ask who the visitor is here to see, and search for the unit on the right.
- Click Log Visitor under the video, or Log New Visitor on the unit, to record the visitor and make your decision.
- Click End Call when you’re done.
Click Clear to end a call without answering it. The call is closed at the gate kiosk too, not just hidden from your queue.
Calls ring for team members who are assigned to the station that the gate kiosk calls. If no one answers, the kiosk can pass the call to the next station. Stations and their order are set up for your community by SAGE administrators, so if calls aren’t reaching you, contact support@sagesystems.io.
Look up a unit
Type in Search by address or last name and pick the unit. The unit panel shows:
- Occupants, and Tenants when the unit has any. For your community’s own My Organization entry it shows Operators instead.
- Guests - Guests and visitors on file, with their status.
- Access Logs - Recent entries for the unit.
- Codes - The unit’s one-time codes.
- Notes - Any notes management has left on the unit.
To let someone in on your own authority, without picking a unit or a host, click Quick Access under the search box. Only their name is required.
Let a visitor in or turn them away
The visitor log needs the visitor’s name and how they’re arriving: add at least one vehicle detail, or note how they came without one (on foot, bicycle, cart). For anyone other than a resident, tenant or team member, also pick the occupant who authorized the visit. The log tells you what’s still missing.
- To let them in - Click Grant access · Open gate. Under Gate to open, check the gate that will open. It starts on the gate the call came from, and you can pick another. Then click Confirm · Open gate.
- To turn them away - Click Deny access, choose a Reason for denial (Resident Refusal, Not on List - No Answer or No Identification), then click Confirm denial.
If the person is on file but their access is currently off, for example suspended or outside their allowed hours, the button reads Grant Override Access instead.
After you let in a new visitor, on-site staff may see Print Visitor Pass. Click Yes, print Pass to print one, or No to skip it.
To accept a one-time code from the unit’s Codes tab, open the code and click Grant Access. This opens the gate. A single-use code stops working after that.
Call a gate yourself
When the queue is clear, click Intercom and choose a gate kiosk to start a video call with it.

Queue, under Virtual Guard in the menu, opens the Communication Queue: the waiting and active calls and intercom sessions you can see, so you can end any that are stuck.
