Notes and tenants

Notes
Notes on a unit are for the people working the gate. They show on the unit’s details in the guard tablet app, and in Virtual Guard they open automatically when an operator brings up the unit. Use them for arrival instructions, access exceptions, or anything else gate staff should know about the unit.
- Go to Administration, open the unit and select the Notes tab.
- Click Add Note.
- Type the note in the Note field and click Save.
To change or remove a note, click it on the Notes tab. Edit the text and click Update, or click the trash icon (Delete Note) to delete it.
Rent a unit
Turning a unit into a long-term rental adds a Tenants tab, where you add the people renting it.
- Open the unit, click the three-dot menu on the unit card and choose Rent.
- In Rent Property, stay on the Long-Term tab.
- Pick the Available From and Available Until dates. The end date must be after the start date.
- Click Rent, then Rent again to confirm.
The unit’s type changes to Rental and the card shows its Rental Period. Owners and occupants stay on the unit.
Renting a unit cancels any active one-time codes created by the unit’s occupants.
The Short-Term tab in the same window is for vacation-style rentals managed through reservations. It only appears in communities that use short-term rentals. See Short-term rentals.
Tenants
- On the rental unit, select the Tenants tab and click Add Tenant.
- Fill in the Add New Tenant form the same way as for an occupant: name, phone, optional email and the same settings.
- Click Add.
Like occupants, tenants are sent an invitation and get access once they accept it. Click a tenant’s row to edit them, or use the trash icon (Delete Tenant) to remove their access.
Add Tenant stays grayed out until the unit has an owner. Add the owner on the Occupants tab first. It is also grayed out on short-term rental units.
Change or end a rental
On a rental unit, the unit menu item reads Rental. It opens Edit Rental Property:
- Change the dates - Pick new From and To dates and click Update. Tenants who already have access get the new dates.
- End the rental - Click Terminate Rental, then Terminate.
Ending a rental removes the tenants, open tenant invitations, and the guests, guest invitations and visitors that tenants added, plus any guests tied to the rental. Tenants’ one-time codes are cancelled. Guests that the owners invited stay. The unit goes back to Residential.
A long-term rental should end on its own after the end date, but check the unit. If it still shows Rental, end it with Terminate Rental.
